By Tim Sonmez, a British destination wedding photographer based locally in Puglia, Southern Italy
Planning a destination wedding in Southern Italy is one of the most exciting adventures you will ever take. While organising a multi-day celebration from abroad might feel like a big project at first, taking it one simple step at a time makes the whole experience wonderfully enjoyable.
From securing your ideal masseria buyout to giving your guests plenty of time to organise their travel, having a smooth timeline keeps everything feeling relaxed and fun.
Here is a friendly 12-month guide to help you build your dream wedding in Puglia for the 2027 and 2028 seasons.
12 Months Out: Setting the Foundation & Shaping Your Weekend
Lock In Your Venue & Guest Stay
Whether you envision an intimate dinner under ancient olive trees or a big celebration in a whitewashed courtyard, choosing your main venue early sets the scene for everything else. Most masserias offer between 4 and 20 rooms on site, making it easy to decide who stays at the estate with you and who might enjoy a nearby agriturismo or boutique hotel. Sometimes it is even recommended to book the venue 18 months out depending on its popularity.
Connect With Key Suppliers
Many couples choose to make their Puglia wedding a multi-day celebration, like a relaxed Friday welcome pizza party, the Saturday wedding, and a Sunday poolside brunch.
If you have your heart set on specific suppliers, like your photographer, planner, or caterer, it is a great idea to reach out early. Booking your core team early gives you the best chance of securing everyone for all your events, keeping your planning smooth and your choices open.
Send Save-the-Dates
Because your guests will be planning a fun trip abroad, sending Save-the-Dates 12 months in advance gives everyone plenty of time to request time off and look for travel deals. Booking early also helps your guests secure the best local accommodation options near your venue.
8 to 10 Months Out: Travel Tips & Easy Paperwork Options
Share Travel Guidance
Help your guests plan their journey by adding a few quick flight tips to your wedding website. Remind them that flying into either Bari Airport (BRI) or Brindisi Airport (BDS) will put them within easy driving distance of most Apulian venue hubs.
A Helpful Car Rental Tip
Puglia’s rolling countryside is dotted with gorgeous, secluded masserias. Public transport is quite limited in rural areas, so recommending that your guests book a hire car online well in advance ensures they get the best rates and can explore the coast and local towns with total freedom.
Legal vs Symbolic Ceremonies
Fulfilling legal civil requirements in Italy (Nulla Osta and Atto Notorio) from overseas involves a bit of paperwork and official translation deadlines.
To keep your week in Italy completely carefree, many couples choose to do the quick legal paperwork back home first. That way, your ceremony in Puglia can be a purely personal, symbolic celebration where you focus entirely on enjoying the moment with your favourite people.
6 to 8 Months Out: Planning Trips & Choosing the Right Season to Visit
Flying out to Puglia for venue walkthroughs, menu tastings, and hair and makeup trials is one of the highlights of the planning journey. Here is a quick look at what to expect depending on when you visit:
- High Season Visit (June to August): You get to feel the vibrant summer warmth, though suppliers will be busy hosting weddings most weekends.
- Low Season Visit (November to February): It is lovely and quiet with plenty of supplier availability, though some outdoor venue spaces will be resting for the winter.
- The Sweet Spot: Spring Shoulder Season (March, April & Early May): This is a truly magical time to visit. The Apulian countryside comes alive with lush green fields, tall grass, and bright red poppies. The weather is comfortable, venues are opening up, and suppliers have plenty of quiet time to sit down with you over coffee and talk through your vision.
4 to 6 Months Out: Invitations & Design Touches
- Send Formal Invitations: Share precise RSVP dates, gather any dietary requests for your multi-course Apulian feast, and collect travel details.
- Design Your Lighting: Work with your production team to choose cozy festoon lights or a fairy-light canopy to illuminate your courtyard dinner.
- Choose Your Music: Lock in your ceremony music, a traditional folk band (Pizzica) for your aperitivo, and a DJ or live band for the evening party.
1 to 2 Months Out: Finalising Details & Relaxing
- Confirm Your Schedule: Walk through the day-of timeline with your photographer and planner. Pacing your evening around the gorgeous Italian golden hour ensures your photo sessions feel like a quiet, effortless walk together rather than a rushed schedule.
- Organise Guest Shuttles: Set up local transport or group taxis for guests staying in nearby towns so everyone can celebrate freely.
